Working with Multiple Workspaces

Learn what workspaces are in Superchat, when to use them to separate contacts and teams, and how to create, manage, and delete them.

Superchat lets you create and manage multiple workspaces under the same email login, so you can easily switch between completely separate Superchat accounts without logging in and out.

Workspaces are ideal when you need contacts to be completely separate — for example, if you manage multiple locations, departments, or clients and don’t want their customer data to mix.

When does it make sense to use multiple workspaces?

Use multiple workspaces when

  • Contacts must stay 100% separate between teams, locations, or clients.

  • You want to ensure no overlap of customer data (each workspace has its own Contact Hub) so contacts are not shared between workspaces.

  • You’re an agency managing multiple clients who each need a completely independent account.

Things to keep in mind

  • Each workspace is fully independent — contacts, automations, templates, and campaigns are all separate.

  • If you use the same automations or templates across workspaces, you’ll need to create and maintain them separately (or use our API to sync them).

Alternatives to multiple workspaces: When to use inboxes instead

Before creating multiple workspaces, ask yourself if you really need to separate contacts.

If your goal is only to control which conversations certain team members can access, you can achieve this with multiple inboxes in a single workspace - without the added complexity of managing separate contact hubs, automations, and templates.

With inboxes

  • You can decide who can access which conversations, while still sharing one Contact Hub across your whole team.

  • Everyone can see customer details in the Contact Hub, even if they don’t have access to every conversation.

Quick rule of thumb

  • Use inboxes if you just need to limit access to conversations.

  • Use workspaces if you need contacts (customer data) to stay completely separate.

Create a New Workspace from within Superchat

1. Hover over the logo in the top-left corner.

2. Click New Workspace.

3. Enter the workspace details.

4. Click Create — your new workspace is ready.

Switch between workspaces

You can switch between workspaces if your user is invited in multiple workspaces.

1. Go to the left sidebar and hover over the workspace logo.

2. Select another workspace from the list.

If you are a member of more than 10 workspaces, not all workspaces are shown in the dropdown menu. Click "All Workspaces" to get to the Workspace Overview, then select the workspace you want to go to.

FAQ

Can I move contacts or automations between workspaces?

  • No. Workspaces are fully separate. You can recreate automations, templates, and contacts manually.

Can I see all contacts across workspaces in one place?

  • No. Contacts are kept completely separate for privacy and organization. Within one workspace, all inboxes share the same Contact Hub, but between workspaces, there’s no sharing.

Can I use one login for all workspaces?

  • Yes. You can access all your workspaces with the same email and password and switch between them easily.

Who can create new workspaces?

  • Any user — Admins, Supervisors, and Members — can create new workspaces.

  • Only Admins can delete or manage existing workspaces.

When should I use inboxes instead of workspaces?

  • Use inboxes when you only need to control conversation access (but want contacts shared)

  • Use workspaces when you need separate contacts and data entirely

How do I accept an invite to another workspace?

If you’re already part of one workspace and get invited to another, you can:

  • Click the email invite you received, or

  • Open the workspace menu (via the Superchat logo), find the pending invite, and click Accept Invite.

  • Once accepted, you can switch between workspaces anytime via the workspace menu.

How are do I manage notification settings if I am part of multiple workspaces?

  • Roles and notification settings are specific to each workspace and must be configured individually within each workspace.

What happens if I change my email, password or 2FA settings?

  • If you change your email address, password or 2FA settings, changes apply globally in all workspaces you are part of.
