Use case: You want to send a WhatsApp template to all new contacts created in HubSpot. This template could be, for instance, an invitation to book a Product Demo.
This is particularly useful for businesses that want to reach out to new leads the moment they enter HubSpot — for example, sending a welcome message, a product demo invitation, or a follow-up after a form submission. Rather than waiting for your team to manually send a message, this Zap ensures every new contact hears from you automatically and immediately.
Instructions
Create a new Zap in Zapier.
Choose Contact Recently Created or Updated in HubSpot as the trigger.
Add the next action Find a Contact in Superchat:
Select Phone Number.
Then add the phone number of the new or updated contact in HubSpot.
For Successful if no search results are found? choose True (so the automation will continue, even if nothing is found in HubSpot).
In the next action, Create a Path.
Create a Path rule for Path A (Create Contact):
Choose Custom Rules.
Choose Zap search status was found and then Boolean is false.
Add Create Contact in Superchat to this path:
In the section Action, you can then specify with which data you want to create the contact in Superchat.
Then add Send WhatsApp Template in Superchat as the last action in this path:
Fill out every mandatory field and choose the WhatsApp template you want to send. You can also alter the Sender Name rather than leave it as "Sent via Zapier".
Create a Path rule for Path B:
Choose Custom Rules.
Choose Zap search status was found and then Boolean is true.
Add action Update Contact in Superchat to this path:
In the section Action, you can then specify with which data you want to update the contact in Superchat.
Then add Send WhatsApp Template in Superchat as the last action in this path:
Fill out every mandatory field and choose the WhatsApp template you want to send.
