You can connect Calendly with Superchat using Zapier to automatically trigger actions whenever someone books or cancels a meeting. This allows you to send confirmations, reminders, follow-ups, or create contacts based on scheduled events.

To set this up, start by creating a new Zap in Zapier.

Choose Calendly as the trigger app and select the event Invitee Created, which is triggered whenever someone books a meeting. Connect your Calendly account (this is usually as simple as just logging in) and select the relevant event type.

Next, test the trigger. It is often best to book an appointment yourself in Calendly using a phone number (or whatever relevant communication channel you wish to choose) that you have access to, as this will help later when you are testing the automation.

Once the trigger is set up, add a new step and select Superchat as the action app.

Depending on your use case, you can:

  • Create a contact

  • Send a WhatsApp template

  • Update an existing contact

Then map the relevant fields from Calendly to Superchat (e.g. phone number) and fill in the node relative to what action you want to complete (e.g. if you want to send a template, select the template and fill in any variables that are included within the template).

After that, you can test the step and, if you are happy with the result, publish.

This setup can be used in a variety of scenarios. For example, you can send appointment confirmations immediately after booking, schedule reminders before the meeting, include rescheduling links, send follow-up information after the appointment, or create and update contacts in Superchat. The setup remains the same — only the timing and content of the action differ.
